While you are looking for faxes or e-mails, I'd start by mailing it to them. I'd use the address(es) listed within your CR since that's the department used for reporting. After 30 or so days and after pulling your reporting again you see that there is no change, then I'd retry the same address but I'd also start calling in the request. After calling in and if they still say "no":, then certainly ask for their fax and/or e-mail. Add it to your contacts for the next round of GWs.
