Student Loan Duplicate Reporting

My husband defaulted on some student loans and now he is in a rehab program for 9 months, where after paying for 9 months in a row, the debt will go back to the original creditor and will report on his credit report (we have everything in writing).  His credit reports show the original creditor reporting- US Dept of Education. 
 
When speaking with the Dept of Edu, we asked about a 4th loan that was reporting for the balance of the other 3 combined.  They said they do not have record of it, and to dispute it and it should come off no problem.
 
So how do I go about this?  Do I send a DV letter to Dept of Edu?  Do I need to mention this is a duplicate reporting?  I worry we will get the run around since the debt is valid but just showing up twice.  I just want to make sure I do the right thing the first time.
